How to keep on top of school emails, letters and class chats
The short answer
Put every school message in one place, pull out only the things you have to act on (dates, kit, money and forms), and share that list with everyone who does the school run. You can do this by hand with a shared note, or let an app like SchoolDone read the messages and build the list for you.
Why it's so easy to miss things
A primary school family can easily get ten or more messages a week. There's the weekly newsletter, letters about trips, reminders from the class teacher, the PTA's news and a busy class chat. The one line that matters, such as "please bring a named water bottle on Friday", is often halfway down a long email about something else.
Then the messages are split between parents. One of you gets the school emails and the other is in the class chat, so neither of you sees the whole picture.
Step 1: Get everything into one place
Pick one place where every school message ends up. For emails, that can be a folder or a label in your inbox. For paper letters, take a photo as soon as they come out of the book bag. For class chats, screenshot anything with a date or a request in it.
Step 2: Pull out only what you have to act on
Most of a school message is background. What you need is short, and it nearly always falls into one of these:
- A date: a trip, an assembly, parents' evening or an INSET day.
- Something to bring: PE kit, a costume, a named water bottle or £1 for charity.
- Something to pay: a trip, a club or school dinners.
- A form to send back: a permission slip or a reply slip.
- A change: a club that's cancelled or a date that's moved.
Write each one down with what it is, which child it's for, and when it's needed by. "Pay £8 for the museum trip on ParentPay by Friday" is far more useful than "museum trip".
Step 3: Share it with everyone on the school run
A list only works if everyone can see it. Share it with your partner and with anyone else who does pick-ups, such as grandparents or a childminder. When something is done, tick it off for everyone, so nobody packs the PE kit twice or pays for the same trip again.
Step 4: Look at tomorrow the evening before
Most missed things are missed in the morning rush. A two-minute look at tomorrow's list the evening before gives you time to find the costume or wash the PE kit.
Or let SchoolDone do the reading
SchoolDone does steps 1 to 4 for you. Forward the school's emails to your family's own SchoolDone address, or add a photo of a letter or a screenshot of a class chat. It picks out the dates, kit, payments and forms, files each one under the right child, shares the plan with everyone you invite, and sends one reminder the evening before.
